Title: Office Support Clerk                                                                              

Location: Divisional Headquarters, 701 N. Broad Street, Philadelphia

Reports To: Divisional Contract and Compliance Attorney

Availability: Immediate

Schedule:  Full-Time; 35 hours per week

Salary and Grade:  $ 16.50 per hour; 73 Non-Exempt

Position Overview: The Office Support Clerk position is responsible for performing functions relating to the processing of all background clearances into databases for the Pendel Division. The Office Support Clerk will also provide support to the Divisional Contract and Compliance Attorney in the processing of contracts, agreements, application, etc. in accordance with Salvation Army policy and procedure.


  • Maintains a tracking system for all incoming clearances reviewed by the Divisional Contract and Compliance Attorney noting any issues, changes, date received, processed and completed.
  • Perform data entry relating to billing locations for clearances that needed to be run for any reason, as instructed by the Divisional Contract and Compliance Attorney.
  • Run reports as required for follow-up on expirations of clearance, etc.
  • Maintains a tracking system for all incoming contracts, agreements, application, etc. reviewed by the Divisional Contract and Compliance Attorney noting any issues, changes, date received, processed and completed.
  • Provide support in entering contracts, agreements, application, etc. into the Contract or Legal Documents Databases in accordance with Salvation Army policy and procedure.
  • Prepare contracts, agreements, application, etc. for return to The Salvation Army’s operating units. Return contracts, etc. as directed by Divisional Contract and Compliance Attorney.
  • Prepare and submit Certificate of Insurance Requests to the Divisional Finance Department or Territorial Risk Management Department as required.
  • Monitor work productivity or quality to ensure compliance with standard operating procedures as set forth by The Salvation Army.
  • Provide correspondence as directed for those clearances, contracts, agreements, applications, etc. that require follow-up.
  • Perform quality control audits to ensure accuracy, completeness of data.
  • Monitor progress of inputting data received.
  • Performing all routine office support tasks in a prompt and professional manner to assure the ongoing smooth operation of the department (i.e.: database maintenance, office machine operation, mail, supplies, phone support, process invoices for prompt payment, reconciliation of corporate credit card, printed materials, etc.).
  • Provide additional assistance to departments as needed during peak season, as needed.
  • Performs related duties as assigned.

  • High School Diploma or GED along with Technical School or Business School courses
  • Strong mathematical and accounting skills. Speed and accuracy required.
  • Strong secretarial, data entry and word processing skills. 
  • Knowledge of Microsoft Word and Excel a must.
  • Must be able to multitask and prioritize work in an ever-changing environment
  • Outstanding organization, administrative and communication skills are a must.
  • Must be able to maintain confidentiality and sign a Confidentiality and Non-Disclosure Agreement as a condition of employment.
  • As a Mandated Reporter, must provide proof of having completed training on recognizing and reporting child abuse meeting the training standards of PA Act 153 of 2014 within 30 days of employment with recurrent training required every five years thereafter.
  • Meets the Child Protection Clearances required by PA Act 153 to include PA Child Abuse History Clearance, PA State Police Criminal Record Check and FBI Criminal Record Check.
  • Must have an understanding of and appreciation for the Mission of The Salvation Army.
