Overview

Position: Program & Office Coordinator / Caseworker                                            

Department: Service Extension Location: Hamburg Service Center 700 South 4th Street Suite C Hamburg, PA 19526

Availability of Position: Immediate

Schedule: Part-time 25-29 hrs. / week                           

Reporting Relationship: Regional Manager (RM), Secondary: Director

Salary and Grade: $13.50 per hour; 73 Non-Exempt

Responsibilities

Description of Position: Maintain a positive presence of The Salvation Army, the Service Extension Department, and in the Renovo Area, develop, and maintain the seasonal and ongoing programs and foster good relations with volunteers and other community agencies. 

 

Local Duties: Provide emergency assistance intake / referral for clients in assigned ZIP codes of Renovo, PA Service Center insuring confidentiality Oversee programs such as emergency assistance, food programs, Friday night service, etc. Intake for government / agency programs per guidelines. Organize / coordinate create seasonal programs as needed or assigned. Complete statistical reports to RM and Advisory Board. Manage / update PR, website, Facebook Page, newsletter, email lists. Organize agenda, provide minutes, and work Service Center Advisory Board for meetings, events, and programs. Create forms for seasonal / ongoing programs. Prepare / update deposits for local volunteer treasurer. Prepare / submit petty cash vouchers / invoices to SEU Accountant. Maintain accurate files for programs per standards. Inventory management: order office supplies, maintenance of office equipment, and office cleanliness. Red Kettle Coordinator for Christmas fundraising goals. Manage / increase / recruit volunteers collecting paperwork, train volunteers. Thank you, letters / advise RM, for signature. Build / maintain effective relationships among public / community agencies. Seek / recruit volunteers, donors, partner agencies and business sponsorships for programs, grants, Board membership, and Christmas kettle season. Attend training as required. Respond courteously / promptly to all types of communications. Attend local agency meetings deemed helpful. Dept. Duties: Support Director and RMs on procedures, orders of office supplies. Drafts correspondence, meeting minutes, and reports in formats for approval / signature / distribution. Collects, prepares, enters accurate data spreadsheets for recordkeeping databases / analysis. Prepares presentations: MS-Word, MS-PowerPoint, web site / social media. Establish, maintain, organizes paper and digital files for efficient / effective operation:  compliance / clearance files required by law. Maintain / updates records / systems / directories of volunteers / staff compliance / clearances, leases, various mailing lists. Respond to phone, voicemails and emails by answering questions, messages, or forwarding / transferring / following up. Processes incoming mail per policy / procedure w/ outgoing mail sent promptly. Operates / maintains office machines: computer, printer, scanner. Greets visitors with courtesy / customer service. Completes personnel tasks: compile, complete and report payroll: benefits, attendance, and PTO records. Processes compliance / clearance items for volunteers and staff per PA Act 153 and policy. Assists in distribution, receipt, and processing of reviews / updates. Coordinate online calendars. Proofread correspondence / complete recommend revisions. Project planning, research, compiling / gathering information, conference planning, travel Assist coordination by drafting / distributing agenda / minutes, and attend staff and online / in-person meetings. All other duties as assigned.

 

Qualifications

  • High School Education with 5 years secretarial experience and/or extensive work history in diversified setting.
  • Working knowledge of computer programs including Windows, Microsoft Excel, Word, Power Point, and Outlook.
  • Typing speed of at least 40 wpm.
  • Excellent telephone and all other communication skills.
  • Ability to work effectively with persons seeking assistance.
  • Self-motivated and self-directed. To be able to prioritize work and have a quick response to those in field. A valid PA Driver’s License with a satisfactory driving record.
  • As a Mandated Reporter, must provide proof of having completed training on recognizing and reporting child abuse meeting the training standards of PA Act 153 of 2014 within 30 days of employment with recurrent training required every five years thereafter. Child Protection Clearances PA Act 153 requires that all prospective employees complete the following clearance and background checks:   PA Child Abuse History Clearance, PA State Police Criminal Record Check and FBI Criminal Record/Fingerprint Check.
