Position:   Office Manager

Department:   Youth Department; Divisional Headquarters, 701 N. Broad Street, Philadelphia

Availability of Position:  Immediately

Schedule:  Full-Time; Monday to Friday; some evenings and weekends when is required

Reporting Relationship: Divisional Youth Secretary and Divisional Candidate Secretary

Salary and Grade:  $20 - $22 dependeing on education and requierement; Salary Grade 77

 Position Overview:   The Youth Department Office Manager (YDOM) will oversee divisional youth correspondence as well as the record keeping of divisional youth programs and candidate paperwork. The YDOM will be responsible for the oversight the processing of any financial paperwork and receipts. The Office Manager will also manage the Camp Ladore office when it’s in session. The YDOM will assist in maintain both Youth and Camp databases.  The YDOM must be able to handle personal and confidential verbal and written materials.

  1. Responsible for sending communication about divisional youth events to Corps and divisional staff and assist in coordination of those events.
  2. Handle mail-pickup from mailroom, stamp in and distribute to Youth Department staff, deliver outgoing mail to mailroom for processing.
  3. Answer and direct incoming telephone calls for Youth Department, taking messages as necessary.
  4. Responsible for collecting and organizing submitted registrations for divisional youth events.
  5. Responsible for coordinating requests for use of Ladore Facilities (pertaining to Youth Dept. events) which include housing assignments and event setup needs.
  6. Participate in divisional events as assigned by the Divisional Commander through the DYS.
  7. Prepare and submit all invoices for payment and prepare and submit all checks received in the youth department in a timely manner.
  8. Prepare and submit all payroll details accurately by all deadlines.
  9. Prepare and submit all youth department event statistics.
  10. Assist the Divisional Candidates Secretary (DCS) in the preparation and filing of Candidate paperwork and with the preparation of Candidate packets for Candidate’s Board.
  11. Help to administer Candidate testing as directed by DCS.
  12. Prepare and submit all receipts into Smart Data system for DYS as needed
  13. Maintain department calendar regarding divisional events, territorial events, and track staff schedules
  14. Upkeep Camp minder and Camp Ladore website.
  15. Performs duties as assigned


With regards to Summer Camp

  1. Relocate to Camp Ladore for the summer camping season
  2. Be a part of the leadership staff at camp
  3. Attend the American Camping Association and Christian Camping Association Conventions, and regional or sectional meeting as recommended by the DYS and approved by the Divisional Commander
  4. Assist the DYS in planning camp assessments and camper placement.
  5. Assist in session registration and reporting within Camp database software.
  6. Supervise the daily operations of the Camp Ladore office to ensure all tasks are being completed on a timely manner and that cleanliness and organizational standards are met
  7. Coordinate with Human Resources for all Summer Camp employees
  8. Maintain ACA standards during hiring process
  9. Coordinate and handle all camp mailings.
  10. Assist the Assistant Camp Director to ensure all online training courses are being completed
  11. Coordinate camp payroll with DHQ which includes completing end of summer Personnel Authorization Forms.
  12. Assist the DYS and ACD with the opening and closing procedures of camp
  13. Coordinate the completion and submission of all Summer Food Service Program forms
  14. Maintain complete camper and staff incident reports
  15. Prepare and submit all invoices for payment in a timely manner
  16. Prepare and submit all checks received in the Camp Ladore office in a timely manner
  17. Prepare and submit all Camp Ladore event statistics
  18. Performs related duties as assigned.



  •  Must be a Christian familiar with the principles of Christian living found in the New Testament and seeking God’s guidance for help in his/her daily walk.
  • Candidate should have an understanding of Salvation Army Doctrine and Practices and be an active Salvationist in good standing.
  • Bachelor’s Degree in Business Administration and/or experience in a related field.
  • Strong organizational skills.
  • Must relocate to camp during the summer.
  • Must work well in a team environment.
  • Must have a willingness to travel when necessary.
  • Must be proficient in Microsoft Office Suite.
  • Must have knowledge in adobe software: Photoshop, Illustrator.
  • Preferably to have some experience with web design.
  • Must have Valid Driving License.
  • Child Protection Clearances PA Act 153 requires that all prospective employees complete the following clearance and background checks prior to employment: PA Child Abuse History Clearance, PA State Police Criminal Record Check and FBI Criminal Record/Fingerprint Check. Meets the Child Protection Clearances required by PA Act 153 to include PA Child Abuse History Clearance, PA State Police Criminal Record Check and FBI Criminal Record Check along with renewals every five years.
  • Must have an understanding of and appreciation for the Mission of The Salvation Army.
