Reports To: Commanding Officer 

Availability: Immediate

Schedule:  Part-Time; Monday to Friday; 9:00 am to 2:30 pm

Salary and Grade: $15.00 per hour; 73  Non-Exempt

Position Overview: The Corps Administrative Assistant function is to provide secretarial support to Corps Commanding Officers, Advisory Board, Corps church members and other staff as needed. Provides office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects.


*Process Correspondence for Commanding Officers to Staff, DHQ, THQ, Advisory Board Members, Community leaders, and others regarding daily operations of the Corps.

*Process paperwork for employment approval, termination, vacations, sick time and termination, and any other changes concerning to employee changes.

*Manages Mail Appeal processing’s, reporting, data entry and thank you letters.

*Process all donations and thank you letters to donors. Including acknowledgement to family of gifts received memorials, matching gifts, and grants.

*Generate and mail meeting reminders to Advisory Board Members.

*Generate and process weekly church bulletins and announcements.

*Responsible for maintaining Advisory Board minutes, employee meeting minutes, records, agendas etc. maintain Salvation Army minute book and send minutes to DHQ.

*Responsible for weekly income and expenses reports and take income to the bank in a weekly basis.

*Assist Commanding Officer in planning special events. (Ex. Volunteer dinner, Annual civic Even)

* Responsible for all volunteers scheduling and for the meal program and monthly calendar.

*Responsible for all kettle entry into Kettle Manager during the Christmas season.

*Responsible for quarterly newsletter for the meal program.

      • Associate Degree
      • High Level proficiency of Microsoft Office Suite
      • Good communication skills verbal and written
      • Computer literate to maintain e-mails account (Outlook)
      • Must be able to maintain flexible schedule including weekends, holidays and evening if needed.
      • Must have understanding and appreciation for the Mission of the Army
      • Managing Processes, Organization, Analyzing Information, Professionalism, Problem Solving, Supply Management, Inventory Control, Verbal Communication
      • As a Mandated Reporter, must provide proof of having completed training on recognizing and reporting child abuse meeting the training standards of PA Act 153 of 2014 within 30 days of employment with recurrent training required every five years thereafter. Meets the Child Protection Clearances required by PA Act 153 to include PA Child Abuse History Clearance, PA State Police Criminal Record Check and FBI Criminal Record Check.
