SCOPE AND PURPOSE OF POSITION:

The Office Manager serves as a support person to the Corps Officers at The Salvation Army in Glens Falls, NY and is responsible for ordering of supplies, sending thank you correspondence relating to mail appeal, Processing payments to our centralized bookkeeper, provide oversight in kettle Payroll and proper recording of kettle income and records, and providing general office and secretarial duties for the corps.  To provide a welcoming, compassionate, and well-organized atmosphere to The Salvation Army.  The Office Manager will also provide supervision to all the volunteers, community service workers, and assist in program areas as per Officer’s request.

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Support and uphold the mission of The Salvation Army
  • Coordination, over-sight, and organization of all volunteers
  • Manage and maintain all volunteer files
  • Pick up Mail from the Post Office Daily
  • Ordering of office supplies
  • Process all Billing that comes to our facility
  • Courteously answer, screen and direct calls and take detailed messages to correct personnel
  • Maintain a neat office area
  • Assist with seasonal applications and Christmas distribution when needed
  • Oversee and process scheduling and payroll for Red Kettle Campaign
  • Run daily Deposits and keep up with data entry on the Red Kettle Worker Database
  • Receive all monetary and in-kind donations that are brought into The Salvation Army and keep accurate records for each.
  • Write thank you letters to donors
  • Accept packages and faxes and notifies intended recipient
  • Create program fliers and keep up with our social media account daily    
  • Completely weekly Income summaries and Deposits
  • Assist with all deliveries when necessary
  • Contact correct personnel about upcoming meetings
  • Record Minutes for Each Advisory Board meeting
  • Collect and Complete Statistical data Entry
  • Complete Monthly GIK report and Email to proper personnel
  • Complete Monthly RPA report and Email to proper personnel
  • Complete Monthly Mileage log and Email to proper personnel
  • Work hand in hand with the Corps Officers to ensure that all administrative needs are taken care of.

Qualifications

SPECIAL SKILLS, CERTIFICATES, LICENSES, REGISTRATIONS:


• Highly proficient in Microsoft Word, Excel, and Power Point required.
• Highly organized. Able to handle multiple tasks in a fast-paced environment.
• Sterling interpersonal skills; applies tact and diplomacy in dealing with internal and external constituents.
• Strong attention to detail and accuracy.
• Superb written and verbal communication skills.
• Comfortable in high-profile situations as well as with “sleeves rolled up.”
• Able to obtain and maintain driver privileges per The Salvation Army insurance standards
