The Office Manager position includes overseeing client flow and daily operations; including but not limited to helping and directing clients, answering phones, emails, Corps and Mobile food pantry, utility assistance, and Christmas assistance. The Office Manager will perform a variety of administrative office tasks to support our clients while upholding the mission of The Salvation Army in East Northport, New York.


  • Conduct interviews with clients seeking social services assistance and administer the program funds as needed. This is to include both regular daily business hours (M-F) and a strong partnership in seasonal efforts: i.e. Christmas (applications, toy distribution, adopt-a-family, back to school, etc.).
  • Responsible for record management including confidentiality, appropriate storage, and entering client information into the social services database.
  • Implement The Salvation Army’s holistic approach to social service ministry by providing each client with information regarding corps worship services, corps community programs for adults and children, as well as other Salvation Army social service programs that would meet their need.
  • Handle all switchboard and telephone responsibilities.
  • Answer phones, take messages, return phone calls, follow-up on any messages and emails received.
  • Manage incoming packages and mail. Pick up mail at local post office (as needed), open mail, sort, date stamp and process invoices for weekly scan to DHQ.
  • Welcome and receive all visitors and clients and treat all visitors with respect and dignity.
  • Notify Corps Officer of personnel when they have a visitor and volunteers looking for opportunities.
  • Ensure that visitors do not have unescorted access to any unauthorized areas of the building.
  • Assist corps officers with the processing of finance paperwork.
  • Assist corps officers with preparations for different meetings and events at the Corps.
  • Ensure summer camp applications are filled out accurately and contact campers’ and their family with any pertinent information.
  • Hand out job applications to kettle workers and ensure that all information is completed correctly on the forms including making copies of the I-9 proof of eligibility documents.
  • Assist corps officers with filing contact information for corps members and kettle workers.
  • Keep the reception area clutter-free and professional looking.
  • Sort and organize War Cry and Priority magazines as they come in each month.
  • Make sure that front doors are unlocked at 10:00 a.m. and locked up again at 4:00 p.m.
  • Assist with clerical or operational duties concerning the food pantry, including food orders, and deliveries
  • Willingness to learn and take on any new administrative responsibilities and other duties as assigned by the corps officers.
  • Maintain a professional work environment through dress code and attitude.
  • Design, identify and suggest to administration literature to be distributed for client use. It is anticipated that the Office Manager will support the entire Corps, especially regarding making worship, service, and fellowship opportunities known to clients.
  • Any other assignments duly given by the corps officers.


  • Must be bilingual (English and Spanish).
  • Maintain confidentiality regarding job-related matters.
  • Know or have basic knowledge of Microsoft Office, including Excel
  • Be able to type letters and professional emails
  • Must possess a high level of professionalism
  • Have good written and oral communication skills
  • Must be honest and hard-working. Self-motivated and self-directed.
  • Able to prioritize work and have a quick response.
  • Flexibility and friendliness are an absolute necessity.
  • Must be highly organized, accurate and detail oriented.
  • Must always maintain a positive attitude.
  • Represent the ideals and integrity of The Salvation Army in the highest possible ethical and moral business conduct.
  • Must be a high school graduate or have a GED.
  • Have some administration experience
  • All other duties as assigned by commanding officers.
