    Position:   Administrative Assistant to the Director of Partnership and the Divisional Social Ministries Secretary

    Department: Divisional Headquarters Administration, 701 N. Broad Street, Philadelphia, PA                            

    Availability of Position: Immediately

    Schedule: Full Time, 35 hours per week               

    Reporting Relationship:  Director of Partnerships and Divisional Social Ministries Secretary

    Salary and Grade:  $17 to $19 per hour depending on education and experience; 77 Non-Exempt

    Responsibilities

    The Administrative Assistant position will provide office support to the Director of Partnerships and the Divisional Social Ministries Secretary and is responsible to maximize the support needed for the growth of and ongoing government relationships and social ministries in Eastern Pennsylvania and Delaware, as well as Federal levels when necessary.  Due to the responsibilities shared between two Departments, personal and professional time management and flexibility is necessary.

     

    Administrative support will consist of the following:

     

    Director of Partnerships:

    1. Reading and organizing legislations, research and special projects.
    2. Performing all routine office support tasks in a prompt and professional manner to assure the ongoing smooth operation of the department (i.e.: database maintenance, office machine operation, mail, supplies, phone support, process invoices for prompt payment, reconciliation of corporate credit card, printed materials, etc.)
    3. Communicating on behalf of the Director of Partnerships.
    4. This position is a highly responsible administrative and resource development support position, reporting to the Director of Partnerships. Duties require a high degree of administrative skills, initiative, follow through, and organizational skill; professionalism, customer service and fund raising insight in communications with key internal and external constituencies (eg. Various government officials at city, state and federal levels, Corps Officers, Advisory Board/Council/Committee members; ); an ability to act independently in managing and following through with projects as assigned; an ability to understand and consider the implication of various communications as they relate to The Salvation Army and its various program initiatives and priorities. Excellent telephone, customer service, and writing skills (including composing sensitive correspondence); will work independently and with other to prepare various promotional items.  Works with the Director of Partnerships to prepare and host a successful bi-annual “Harrisburg Day and Delaware Day,” as well as other new government relations initiatives. Also, performs related duties as assigned.

     

    Divisional Social Ministries Secretary:

    1. Performing all routine office support tasks in a prompt and professional manner to assure the ongoing smooth operations of the department (i.e.: mail, supplies and phone support, process invoices for prompt payment, reconciliation of corporate credit card, printed materials, etc.)
    2. Exercising discretion and independent judgement in the day-to-day management of the Social Ministries Secretary’s schedule and correspondence.
    3. This position maintains and refers to the daily schedule for the Divisional Social Ministries Secretary while handling related needs such as travel arrangements, conference planning, as well as events and appointment management. Develops, set and adhere to deadlines of project planning. Works with the Divisional Social Ministries Secretary to prepare and host successful Divisional Social Service Conferences (and National Conferences when necessary.) Participates in special events as need to provide support to the Social Services Department. Also, performs related duties as assigned.

     

    Qualifications

    Minimum requirement of a Bachelor’s degree or equivalent combination of relevant education and 2 years of experience. Must be proficient in Microsoft Office and familiarity with large database applications.  Knowledge of government relations and partnership management software is a plus.  Must be highly organized, with demonstrated skills in written and verbal communication and project management skills.  Must have excellent interpersonal/customer service skills, able to relate professionally and effectively with key constituencies (both internally and externally), with an ability to deal well with sensitive situations and confidential information. Must be able to work both autonomously and as part of a team.  Valid Driver's License and able to obtain insurance clearances as determined by The Salvation Army's insurance company. Child Protection Clearances PA Act 153 requires that all prospective employees complete the following clearance and background checks:   PA Child Abuse History Clearance, PA State Police Criminal Record Check and FBI Criminal Record/Fingerprint Check. Must have an understanding of and appreciation for the mission of The Salvation Army, ready to support the Army’s mission objectives through the position’s duties.
