  • Overview

    The Assistant Bookkeeper will work on the general Journal, General Ledger and trial balance. The Assistant Bookkeeper will be trained by the Bookkeeper to perform all bookkeeping functions as needed in the bookkeeper’s absence. Because of variations in the needs of individual centers, directors and bookkeepers must confer together to establish priorities and determine the most effective division of the bookkeeping workload in a given situation.


    • Assist Bookkeeper in checking computation of bills.
    • Assist Bookkeeper in omputing payroll of staff.
    • Assist Bookkeeper in issuing all checks for approved bills and payroll.
    • Assist bookkeeper in making entries and maintaining double entry journals and ledgers including trial balance, cash receipts and disbursement ledgers, payroll journal, petty cash, general journal and general ledger.
    • Assist bookkeeper in checking deposits, fees collected and receipts issued.
    • Assist bookkeeper in checking petty cash payments.
    • Assist bookkeeper in preparing statements and financial reports. (CAMFR).
    • Assist bookkeeper in making bank reconciliation statements.
    • Assist bookkeeper in assisting director in preparation of monthly expenditure projection report.
    • Assist bookkeeper in preparing New York State Department of Labor Unemployment Tax Statement.
    • Assist bookkeeper in preparing disability and Workmen’s Compensation reports, and related forms, including accident reports, within 5 working days.
    • Assist bookkeeper in preparing monthly and annual reports for submission to employees’ pension plan carrier.
    • Assist bookkeeper in preparing Health Insurance and Welfare Plan reports where applicable.
    • Assist bookkeeper in preparing food claim reports, if required.
    • Assist bookkeeper in preparing monthly Union dues and credits Union check off reports.
    • Assist bookkeeper in collecting fees, issues receipts, and reconciles receipt totals with actual cash collected.
    • Assist bookkeeper in preparing bank deposit slips and deposit receipts at least weekly.
    • Assist bookkeeper in posting and summarizing fee cards. Reports weekly to director on fees in arrears.
    • Assist bookkeeper in preparing children’s attendance reports.
    • Assist bookkeeper in maintaining petty cash fund
    • When authorization has been signed by the director or other authorized person issues
    • Petty cash to person designated.
    • Gets from recipient of petty cash, bills and necessary change.
    • Enters petty cash expenditures daily in Petty Cash Book.
    • Balances petty cash daily.
    • Enters receipt of petty cash funds.
    • Assist bookkeeper in keeping daily records of staff attendance including vacation and sick leave balances.
    • Assist bookkeeper in keeping monthly record of budget balances.
    • Assist bookkeeper in acting as receptionist for childcare center and answers phone.
    • Assist bookkeeper in performing all typing for center, i.e. lists, children’s records, absence notices, late fee notices, permanent equipment requisitions, minutes and agenda for staff meetings, evaluations, menus, reports, etc.
    • Assist bookkeeper in doing filing and related clerical work.
    • Assist bookkeeper in telephoning purchase orders when required.
    • Assist bookkeeper in maintaining permanent equipment inventory.


    • High School Diploma or GED
    • Certifications of completion of bookkeeping courses,
    • At least six months experience as a payroll clerk, invoice, billing clerk or other bookkeeping position.
    • Typing experience
    • Any combination of training consisting of Bookkeeping and typing experience for at least one year.
