Schedule: Full time; Monday – Friday, regular hours with occasional evening and weekends
Salary Grade: 76 Non-Exempt
Function: The Youth Department Office Manager (YDOM) will oversee divisional youth correspondence as well as the record keeping of divisional youth programs and candidate paperwork. The YDOM will be responsible for the oversight the processing of any financial paperwork and receipts. The Office Manager will also manage the Camp Ladore office when it’s in session. The YDOM will assist in maintain both Youth and Camp databases. The YDOM must be able to handle personal and confidential verbal and written materials.

With regards to the Youth Department: Assist the Divisional Candidates Secretary (DCS) in the preparation and filing of Candidate paperwork and with the preparation of Candidate packets for Candidate’s Board. Responsible for sending communication about divisional youth events to Corps and divisional staff and assist in coordination of those events. Responsible for collecting and organizing submitted registrations for divisional youth events. Responsible for coordinating requests for use of Ladore Facilities (pertaining to Youth Dept. events) which include housing assignments and event setup needs. Participate in divisional events as assigned by the Divisional Commander through the DYS. Prepare and submit all invoices for payment and prepare and submit all checks received in the youth department in a timely manner. Prepare and submit all payroll details accurately by all deadlines. Prepare and submit all youth department event statistics.
With regards to Summer Camp: Relocate to Camp Ladore for the summer camping season. Be a part of the leadership staff at camp. Attend the American Camping Association and Christian Camp and Conference Association conferences, and regional or sectional meeting as recommended by the DYS and approved by the Divisional Commander. Assist the DYS in planning camp assessments and camper placement. Assist in session registration and reporting within Camp database software. Supervise the daily operations of the Camp Ladore office to ensure all tasks are being completed on a timely manner and that cleanliness and organizational standards are met. Coordinate with Human Resources for all summer camp employees. Maintain ACA standards during hiring process. Coordinate and handle all camp mailings. Assist the Assistant Camp Director (ACD) to ensure all online training courses are being completed. Coordinate camp payroll with DHQ which includes completing end of summer Personnel Authorization Forms. Assist the DYS and ACD with the opening and closing procedures of camp. Coordinate the completion and submission of all Summer Food Service Program forms. Maintain complete camper and staff incident reports. Prepare and submit all invoices for payment and checks received in a timely manner. Prepare and submit all Camp Ladore event statistics.
Minimum Qualifications: Must be a Christian familiar with the principles of Christian living found in the New Testament and seeking God’s guidance for help in his/her daily walk. Candidate should have an understanding of Salvation Army Doctrine and Practices and be an active Salvationist in good standing. Bachelor’s Degree in Business Administration and/or experience in a related field. Strong organizational skills. Must relocate to camp during the summer. Must work well in a team environment. Must have a willingness to travel when necessary. Must be proficient in Microsoft Office Suite. As a Mandated Reporter, must provide proof of having completed training on recognizing and reporting child abuse meeting the training standards of PA Act 153 of 2014 by the end of orientation with recurrent training required every three years thereafter. Meets the Child Protection Clearances required by PA Act 153 to include PA Child Abuse History Clearance, PA State Police Criminal Record Check and FBI Criminal Record Check. Must have an understanding of and appreciation for the Mission of The Salvation Army.
