High School graduate with some college/business/or secretarial school preferred

2-4 years in secretarial field, supervisory experience

  • Understanding and support of the whole mission of The Salvation Army
  • Ability to exercise confidentiality, discretion, and judgment
  • Computer expertise in Microsoft Word, Publisher, PowerPoint, Excel and Lotus Notes
  • Solid communication skills, both oral and written
  • Ability to multi-task and still provide high quality, detailed work6.         Duties and Responsibilities
  1. Process communication related to office, including answering phone calls, delivering mail, sending messages and making calls on behalf of the Program Secretary 
  2. Maintain records and files, including a bring-up file, which results in easy access to documents and information 
  3. Organize and schedule routine or cyclical work load and establish priorities accordingly 
  4. Maintain the Program Secretary’s calendar and DHQ devotional schedule 
  5. Refer telephone calls and correspondence to other departments and staff as deemed appropriate 
  6. Maintain privacy of the Program Secretary’s office as needed 
  7. Assist in preparation and coordination of events, including providing assistance at some events and managing entire components of certain events (ex: Forest Hills Memorial Service) 
  8. Take, process, distribute and file minutes at meetings, as requested, such as MAC and Women’s Commission. Prepare agenda for MAC and communicate with chair and committee members regarding meeting dates. Prepare for meetings, which may include set up, clean up, arranging food preparations, and scheduling meeting space. 
  9. Process local officer commissions, Soldier of the Year Awards, and cartridge orders 
  10. Maintain the divisional lending library, including recording new entries, following up with late returns, and organizing the library shelves 
  11. Provide assistance to officers within the Program Section, as permitted by the Program Secretary 
  12. Access statistical data for the Program Secretary, in the absence of the Divisional Statistician 
  13. Other duties as requested and agreed upon.
