Position:   Administrative Assistant / Music Instructor                                                                                   

Department:   Divisional Headquarters Music Department, 701 N. Broad Street, Philadelphia, PA

Availability of Position:  Immediately    

Schedule:  Full-Time; 35 hours per week plus some weekends                      

Reporting Relationship:   Divisional Music Director                              

Salary and Grade:    $18.45-$19.50 per hour; 77 Non-Exempt

Responsibilities

Description of Position:        The AA/Music Instructor give support to Music & Arts Department meetings including taking minutes;  Maintain contact information and communications groups of Divisional Music Groups, music leaders, etc. (via email etc.);   Works with the Divisional Music Director to establish and then follow various project plans, meeting interim deadlines as required to complete the project on time; Sets up calendar reminders in the Lotus Notes system; Give support to Divisional Music Committee meetings by taking minutes; Help maintain all records of the MAP program including data entry and distribution of reports to C.O’s, DMD, RMDs, and others; Facilitates database programming for the Pendel Music Department, which includes maintenance of databases for MAP, instrument and instructional material inventories, mailing lists and other databases as needed.  The AA/Music Instructor gives organizational support to the annual Pendel Youth Music and Arts Rally which includes Star Search which could include correspondence with Corps, registration, schedule, awards, THQ report; and coordinates publicity and implementation of Divisional, Regional and Territorial Music & Arts events/camps (including regional leadership training, Star Search, Midwinter Retreat/Territorial Convocations, Ladore Musicamp, Junior and Senior Conservatory, Pendel Brass, Youth and Prep Bands, Family Camp, Program Camps, etc.); Facilitates the development materials for the Pendel Music Department, which includes design and production of promotional materials, including the Music Department Annual Report; and website.  The AA/Music Instructor oversee finances of Music Department including disbursement of instrument rentals; subsidies for private lessons; timely processing of Music Department bills and submission of time sheets and itineraries; Coordinates instrument rentals and distribution, keep track of inventory and repairs and prepare the annual rental invoices to corps. Other duties include: Overseeing the inventory, ordering, distribution and corps invoicing of Method Books, Communicating with Corps regarding standing orders and then forward information to THQ. The AA/Music Instructor will also communicate to Pendel Music and Arts groups, and help with event logistics including venues, programs, transportation and housing, etc.  The AA/Music Instructor will work with leaders of the Youth Music and Arts regarding correspondence at the start of the season and other events.  The AA/Music Instructor will work with the Youth Department on paperwork for summer activities including: Summer opportunities document, Conservatory Applications, Musicamp Coversheet. Assist in arranging summer housing for Music and Arts Department staff; helping to process applications for Senior and Junior Conservatory including but not limited to: sending acceptance letters, assisting with the preparation of schedules.  Assist with preparation and copying of materials.  Assists with the planning and preparation for Musicamp including but not limited to: putting together and copying the staff brief, copying music for major classes and choruses, oversee the copying of devotional material, ordering of awards. Processes applications, acceptance letters, and reimbursements and maintains running balances for each student in Operation Piano Player and Operation Musician.  Teaches music lessons (brass / music theory) at a corps in the Philadelphia region of the division at the direction of the Divisional Music Director. And conducts self always in a manner that reflects credit on The Salvation Army and encourages others to do the same.   Perform related duties as assigned by the Divisional Music Director and Program Secretary.

Qualifications

* Strong organization and communication skills  

* Good computer skills (familiarity with Word, Excel, PowerPoint, Access, HTML, Sibelius)

* Combination of education and experience in music and administration. 

* Valid driver’s license with willingness to travel and availability of reliable transportation (mileage and tolls will be reimbursed)

* Willingness and ability to teach both children and adults

* As a Mandated Reporter, must provide proof of having completed training on recognizing and reporting child abuse meeting the training standards of PA Act 153 of 2014 within 30 days of employment with recurrent training required every three years thereafter. * Meets the Child Protection Clearances required by PA Act 153 to include PA Child Abuse History Clearance, PA State Police Criminal Record Check and FBI Criminal Record Check. Child Protection Clearances PA Act 153 requires that all prospective employees complete the following clearance and background checks:   PA Child Abuse History Clearance, PA State Police Criminal Record Check and FBI Criminal Record/Fingerprint Check
