Overview

Responsible for the day-to-day operation of The Salvation Army Bushwick Worship and Community Center and provide supervision of all other employees with directive from Corps officer. Provide support to the Corps Officer / Director to ensure the smooth operation of The Salvation Army Bushwick Worship and Community Center.

Responsibilities

  • Perform general administrative duties including in-coming and out-going calls, mail and emails.
  • Supervision of all employees.
  • Act of secretary to the Corps officers
  • Maintain and prepare building maintenance inspections and completion of all necessary documents;
  • Prepare memos and proposals to appropriate DHQ personnel as directed by the Corps Officer / Director;
  • Prepare letters and proposals to correspondent agencies and donors;
  • In charge of mail, applications, filing of grants, donations, licensing, permits to enable the continued daily operation of The Salvation Army Bushwick Worship and Community Center (TSA BWCC);
  • Maintain TSA BWCC filing system;
  • Handle and maintain personnel records; purchase supplies
  • Keep track of office keys
  • Keep building calendar-scheduling to accommodate meetings for advisory Board
  • Responsible for payroll, tracking of employee’s hours and time sheets, conduct Staff Orientation Semi-Annually;
  • Liaison between TSA BWCC and support agencies and facilities;
  • Assist Corps Officer / Director to arrange and conduct monthly staff meetings;
  • In Corps Officer / Director absence, provide tours and introduction of the functions and programs of The Salvation Army Bushwick Worship and Community Center to visitors and mission teams;
  • Attend meetings or special functions relating to TSA BWCC on behalf of Corps Officer / Director to network and recruit resources;
  • Attend professional external seminars and training related to field of work;
  • Handle Petty Cash funds;
  • Responsible for On-Line Red Kettle Management System – Kettle Manager;
  • Responsible for Handling all hiring paperwork for permanent and seasonal employees;
  • Assist with Christmas Toy and Kettle Programs as needed;
  • Handle all violations, follow-up with the appropriate corrections, and report to the proper department;
  • Assist all visitors from various inspection companies, government agencies, etc.;
  • Gathering and submitting statistics on a monthly basis;
  • Submitting all invoices and all necessary documentation to the finance department as requested;
  • Weekly banking
  • Oversee the recruitment, hours and status of all volunteers;
  • Ordering Food Supplies and Maintaining all documentation for the Soup Kitchen, Food Pantry and After-School Program
  • Fulfill other appropriate duties as directed by the Corps Officer / Director

 

Qualifications

  • Associate Degree or Higher (Preferred);
  • Minimum three years of administrative and management experience (Preferred);
  • Good Communication skills, both oral and written;
  • Good Computer knowledge and skills of Word, Excel, Access and Power Point;
  • Good Administrative and organizational skills and detailed-oriented;
  • Practical, efficient and open to the Salvation Army’s mission and ministry
