Overview

The Program Aide & GAINS Data Entry Clerk will serve in a critical support role to the Brownsville Night Center & GAINS Programs. They will be intimately and integrally involved in the daily operations of the Corps and the carrying out of the Mission of The Salvation Army.

As the Program Aide, they will support the administrative functions of the Brownsville Corps Community Center including Finances, Database Maintenance & Office Operations.

Additionally, as the GAINS Data Entry Clerk, they will assist the GAINS Program Directors with the carrying out of the administrative functions of the Program.

Responsibilities

  • Answer and direct phone calls to appropriate areas.
  • Maintain appropriate long distance & fax logs.
  • Keep general files up-to-date and in order.
  • Keep personnel files up-to-date and in order.
  • Keep bulletin boards in order: seasonal decorating and posting notices.
  • Assist with community center record-keeping as needed.
  • Serve as a secretary to committee meetings as assigned, record minutes, send notices, etc.
  • Keep general office area in good order.
  • Maintain orderly computer files and back-ups.
  • Assist in any other areas as assigned by supervisors
  • To facilitate, in every way possible, the mission of The Salvation Army, at the direction of the Corps Officers.
  • Assist with program needs as directed by Program Leadership
  • Provide resource material and equipment to instructors
  • Monitor Night Center programming and maintain a daily attendance record
  • Cooperating with all members of staff regardless of their position
  • Help in supervision of participants enforcing appropriate safety regulations and emergency procedures
  • Provide administrative support to the GAINS Program Director & overall GAINS Program year-round
  • Responsible for the maintenance of participant files (hard copy and digital), including DYCD Online & KidCheck
  • Responsible to process Employee Time Off Requests
  • Responsible to coordinate ordering with Divisional GAINS Office and ensure that bills are promptly forwarded
  • Assist with other areas of program, as needed – under the direction of the Corps Officers  

Qualifications

  • An Associate degree, Baccalaureate preferred in the area of Business-Office Management or Secretarial Science or minimum 3 years of office experience at a Salvation Army Inner-City Corps
  • Ability to read and write effectively; follow written instructions, adhere to policy and procedure of the organization (The Salvation Army)
  • Coordinate the effective flow of work through the general office for the corps. This will include the business of the corps, day care and family care centers, community center and social services.
  • Receive public on behalf of the Salvation Army and assist by directing to appropriate areas.
  • Ability to maintain the highest standard of professionalism and confidentiality during and after employment, in all matters.
  • Must be available Mondays through Thursdays (4:30 PM – 9:30 PM)
