The Database Entry Specialist is the person who keeps our donor data accurate, current, and useful. This role sits within the Development Department and supports the Manager of Annual Fund and Advancement Services, as well as staff across the division who depend on reliable records to do their work. Day to day, the job involves processing gifts, maintaining donor records, running reports, and being the go-to resource when someone has a data question or needs training on the system. There's also occasional donor communication and light constituent research in the mix. Responsibilities

  • Process credit card donations and gift entries daily, with accuracy and consistency.
  • Update and maintain donor records, including contact information, giving history, and database status.
  • Run reports for corps locations and internal teams, covering financial, donor inquiry, and historical needs.
  • Train and support staff on database features, structure, and data entry procedures.
  • Conduct light constituent research to fill in missing information such as addresses, phone numbers, and best contact details.
  • Respond to donor inquiries related to online giving and resolve issues as they come up.
  • Validate and process employee giving and matching gift submissions.
  • Coordinate matching gift information and share it with the appropriate internal contacts, including corps officers, the major gifts team, and the corporate donor specialist.
  • Support all online gift processing and provide assistance to staff as needed.
  • Perform other duties as assigned by the Manager of Annual Fund or the Divisional Development Director.

Qualifications

  • Ability to work within CRM and database environments
  • Proficient in Microsoft Suite, specifically Excel and Word
  • Thoroughness, accuracy, and detail oriented
  • Peripheral knowledge of basic accounting/bookkeeping
