Location: 290 Bedford Street, Fal River, MA

Hours/week: 30 hours per week

Exemption: Non-exempt

Pay Range: $20.09 - $32.64 per hour

*starting pay varies depending on experience and qualifications*

 

Provide administrative support to Officers and other staff with a high degree of professionalism, accuracy, judgment, and confidentiality.

Duties & Responsibilities:

General Responsibilities

  • Answer and direct phone calls
  • Sort and open office mail and place in appropriate inboxes.
  • Perform general clerical duties to include but not limited to:
    • Photocopying
    • Faxing
    • Mailing (maintain mailing list, preparing mailing labels, etc)
    • Filing
  • Keep inventory and process requests for office supplies
  • Maintain routine reports and statistics
  • Submit timesheets to payroll on bi-weekly basis
  • Perform other related duties as requested.
  • Maintain all department files according to office procedures
  • Perform all typing duties (including, but not limited to: correspondence, forms, documents, schedules, bulletins, etc.)
  • Maintain an adequate Bring up file
  • Respond to all donations with a thank you card (monetary and in-kind)
  • Schedule social service interviews as required
  • Coordinates “clothe a child” holiday assistance
  • Help with kids’ recruitment paperwork for summer camp
  • Keep the finance database entries up to date
  • Help with bank deposits

 

QUALIFICATIONS

 

Education Requirements:

High School Diploma

College/Business School Graduate preferred     

 

Work Experience:

At least two (2) years work experience in field

 

Other Qualifications:

  • High level of confidentiality, discretion, and judgment
  • Requires a high level of computer expertise related to Microsoft Applications - Word, Excel, Publisher, PowerPoint, etc.
  • Must have excellent organizational skills
  • Must be able to communicate effectively in a warm, gracious, and professional manner
  • Requires a high degree of initiative; highly detail oriented and organized; and able to prioritize and manage multiple projects in a fast-paced environment.
  • Demonstrated skills in written correspondence and verbal communication. Excellent interpersonal skills, able to relate professionally and effectively with key internal and external constituencies including fellow staff, volunteers, donors, and board members.
  • Must be able to work both autonomously and as part of a team.

Requirements include:

  1. Sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or occasional continuous basis.
  2. Grasp, push, pull objects such as reference materials, files, file cabinet drawers, and reach overhead.
  3. Ability to load and to change settings, devices, fixtures, on various equipment used in and around an office environment
  4. Operate telephone and other electronic communication devices.
  5. Operate various other office equipment including personal computers, copiers, fax machines, and scanning equipment.
  6. Ability to lift up to 25 lbs. occasionally.
  7. Ability to travel throughout the Division via car, train, or airplane.
  8. Ability to be creative, original, intuitive, and perceptive.
  9. Ability to think logically and critically.
  10. Ability to envision a project from beginning to end.
  11. Ability to solve complex problems, make appropriate judgments and decisions
