Seeking a Part Time Adminstrative Assistant on our Ithaca Corps Team

SCOPE AND PURPOSE OF POSITION:
General Secretarial duties in support of the Corps Officers

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Provide a confidential and compassionate interview with walk-ins needing emergency assistance. Complete all family intake information and assess the need required.
• Accurately document all information required by The Salvation Army and cooperating agencies (i.e. The Food Bank of Central New York).
• Manage community volunteers.
• Organize and maintain all necessary files for Salvation Army programs and other secretarial duties.
• Network with other local agencies when needed to provide best means of assistance.
• Assist volunteers of the Client Choice System of The Food Bank of Central New York when filling emergency food assistance.
• Attend any necessary training required for services and remain up to date on certifications.
• Act as Point of Contact for most of our community through the phone and our office.
a. Answer, provide correct information and referrals for each call.
b. Record messages for appropriate persons.
c. Update outgoing messages during special times (Christmas and back to school).
• Complete and file tax donation forms, when requested.
• Provide direct emergency assistance via writing vouchers as available:
a. Manage and maintain files, paperwork and statistics
• Maintain calendars to coordinate corps officers and all community responsibilities.
• Prepare, type and copy correspondences and other documents as needed and on a timely basis to include but not limited to:
a. Thank you, birthday cards, and prayer requests
b. Church bulletins for each Sunday and special services
• Work with officer to coordinate Christmas collections, distribution, thank you letters, reports
• Coordinate annual Fishing Tournament.
• Attend the employee meetings to take notes for officer filing and reference.
• Pick up donations, make camp runs and take seniors home as needed.
• Order office supplies used regularly and anything else the officers or corps leaders need.

Qualifications

SPECIAL SKILLS, CERTIFICATES, LICENSES, REGISTRATIONS:
• Pleasant attitude with all staff.
• Proficiency with Microsoft Office products.
• Training with Food Bank of Central New York on policy (attend after hired).
• Valid driver’s license that meets The Salvation Army insurance requirements.
