Overview

The Salvation Army’s Divisional Headquarters is hiring a Greater Boston Events Coordinator and offers the following benefit package to part-time employees:

Location: 25 Shawmut Rd., Canton, MA 

Hours/week: 25 hours per week (40 hours per week during the holiday season)

Exemption: Non-exempt

Pay Range: $20.40 - $33.13 per hour – Dependent upon qualifications and experience.

This position is responsible for events such as Back to School, Angel Tree, Thanksgiving and Christmas Distribution, and scheduling, and training of staff/volunteers for these events and other programs as needed.  Work in conjunction with the Advancement team and local Salvation Army Corps Officers (Pastors/local Business Manager) with coordination for Divisional activities and other events and promotions as needed.

 

The Greater Boston Events Coordinator must be able to anticipate project needs, discern work priorities, and meet deadlines.   Work with vendors, event attendees, and be capable of building strong and positive relationships with donors, partners and other key stakeholders.  Manage clerical, operational, and other aspects of multiple simultaneous major events with special emphasis on Corps/Client relations. Events include fundraising and awareness events; major social ministries distribution events which provide toys, clothes, backpacks, food and other items in support of those in need.

Duties & Responsibilities:

 

  • Manage The Salvation Army’s Greater Boston event management, recruitment materials, newsletters, and ensuring that other communications are factually accurate and reflect the ‘voice’ of The Salvation Army with correct grammar, spelling and punctuation.
  • Coordinate the management of the Greater Boston Events database or respective database, managing the volunteer database and maximize its capacity for efficiency and effectiveness. Develop/revise as needed volunteer web page and social media related to special events.
  • Demonstrate strategic thinking, generate enthusiasm for the special events. Assist in the development of meaningful opportunities for volunteers/volunteer teams in collaboration with the respective Advancement Team, Corps Officers and staff and any department we work with related to events.
  • Serve as the lead for event planning, production and will lead all event planning meetings and discussions. Manage on-site production and clean up for events as necessary and coordinate follow-up with vendors, sponsors and Corps following each event. Communicate calendar of event dates, vision, goals, etc. of distribution events, drives/collections with key stakeholders including Advancement, corporate partners, committee volunteers, Corps Officers, Social Ministries department and Divisional leadership.
  • Prepare and submit budget and funding sources to supervisor for review and approval.
  • Work with Human Resources to process background checks on all volunteers.
  • Ensure that appropriate contact action data is tracked in the appropriate database to provide the full picture of event management and ensuring that we are assisting consumer/client relationships and business relationships with The Salvation Army.
  • In concert with Greater Boston Regional Social Ministries Manager manage clerical and operations aspects of the Greater Boston annual distribution events including task management and logistics, committee/stakeholder meeting coordination and communication, and identification of funding needs to meet goals.
  • In concert with the Social Ministries Department, communicate in advance with Corps Officers and other appropriate staff the availability of resources and/or dates to ensure proper coordination intake processing in advance and at onsite event registration/check-in. As requested by Social Ministries, provide forms, flyers, promotional materials, and fact sheets to support promotion of intake
  • Support the Social Ministries Department and to a limited degree other Departments in the implementation of National, Territorial, and Divisional promotions with corporate partners to collect toys, school supplies, and other items.
  • Organize, coordinate, and communicate drives/collections with Corps Officers/Service Extension Unit. Track progress and reporting documents.
  • Provide final event reports/summaries to Greater Boston Regional Social Ministries Manager for review and discussion.
  • Remain up to date with all KeepSAfe training and make sure volunteers and other staff are up to date 
  • Perform other duties within the scope of the position as requested/needed

 

QUALIFICATIONS

 

Education Requirements:

Bachelor’s Degree in Business or related field (i.e. Hospitality, Project Management)

 

Work Experience:

  • Minimum 2 years’ experience in events planning
  • Experience supervising and working with professionals/volunteers
  • Must have experience managing multiple projects at one time
  • Must have experience training others (volunteers, staff, partners, etc)

  • Must have excellent organizational skills
  • Must be culturally sensitive and have knowledge of community resources
  • Computer expertise in Microsoft Applications and other specific software

  • Must be able to work independently and as a team member
  • Ability to multi-task and still provide high quality, detailed work
  • Must be willing to work weekends and evenings as needed
