Location:         Kroc Center Boston – 650 Dudley Street – Dorchester, MA

Hours/week:   Full-time, 35 hours per week

Exemption:     Non-Exempt

Pay Range:      $17 - $22 per hour

*starting pay varies depending on experience and qualifications*

 

 

PRIMARY FUNCTION

The main functions of the Administrative Assistant are to support the Kroc Administrators in all areas; including but not limited to maintaining and coordinating calendars, receive and process phone calls and other communications (i.e. emails), coordinating and managing projects as assigned, handling ordering of all supplies, managing petty cash and deposits, and filing and organizing records. Mus be present at all required meetings as determined by the Administrator

 

 

  1. Answer phones, take messages and transfer as needed
  2. Respond to phone messages and emails in a timely manner.
  3. Attend meetings and take minutes as directed by the Kroc Administrator.
  4. Meet and greet guests and visitors who are in the building to meet with the Kroc Administrator.
  5. Create and modify documents using Microsoft Office applications – Word, PowerPoint Excel, and Publisher.
  6. Perform clerical duties to include but not limited to: photocopying, faxing, mailing, filing, typing and taking minutes as requested.
  7. Support Business Department in regard to copier maintenance and service calls.
  8. Maintain and coordinate administrators’ UPS/Fed Ex/Airborne packages.
  9. Set up and coordinate meetings and conferences.
  10. Prepare agenda for Kroc Executive Council, organize backup documentation submitted, take minutes and distribute to Council Members.
  11. Maintain Kroc uniform stock, and place orders as needed.
  12. Gather statistics from all departments within Kroc, record them in computerized statistical program and submit to DHQ on time each month.
  13. Provide regular reporting verbally and in presentation format on all of the above activities.

 

  1. Set-up accommodation and entertainment arrangements for visitors, and Kroc Administrators; as needed.
  2. Organize and maintain Kroc mailroom supplies.
  3. Handle ordering of all supplies for the Boston Kroc Center, including obtaining ordering information from managers and approvals from the Administrators, placing orders and ensuring delivery of products and distribution to departments.
  4. Help provide overall Kroc office oversight.
  5. Help organize Kroc Advisory Council materials and correspondences.
  6. Represent The Salvation Army’s spiritual and social mission
  7. Perform other related duties as assigned

 

QUALIFICATIONS

 

  1. Education Requirements

 

Associates degree preferred in field related to business

 

  1. Work Experience

 

Preferred to have 2 years of experience working in an office as an administrative assistant and have office management skills.

  • Have ability to work in an office with professional staff consisting of individuals with varying experience, competency and cultural backgrounds.
  • Must be organized and able to coordinate complex schedules, events, and communications.
  • Must have high integrity, a high l level of maturity, and able to see tasks through to completion.
  • Have excellent computer skills and competency with Microsoft Office Applications and/or appropriate desktop applications.
  • Must be adept at problem-solving.
  • Must be able to handle confidential and sensitive information.
  • Must have the ability to work and relate well with people.
  • Must be able to read, write and communicate in English.
