The Legal Department at our Eastern Territorial Headquarters has an opening for a Legal Assistant II Estates Database Specialist.  The Estates Database Specialist maintains the computerized legacy system for the Eastern USA Territory.

 

The position requires approximately 35 hours of work per week and is onsite in West Nyack, NY.

Responsibilities

• Update and process all existing legacy cases and all existing planned giving cases in the territorial legacy computer program.
• Analyze testamentary documents determining pertinent information that reflects The Salvation Army’s interest, i.e., bequests, and updating the territorial legacy computer program to reflect the
same.
• Prepare estate advice forms for deposit batches from Finance Department.
• Record all estate distributions and allocations for estates, third part trusts and planned giving legacies in the territorial legacy computer program.
• Contact Divisional staff and outside third parties concerning verification of information in the territorial legacy program.
• Create 3rd Party Trust Tab for all “New” Trusts. Notify Senior Estates Specialist to complete missing information, i.e., Code keys, percentages, etc.
• Update information in 3rd Party Trust Tab in territorial legacy computer program.
• Consult with Assistant Legal Secretary and Supervisor of Estate Processing to assure the smooth operation of the territorial legacy computer program.
• Obtain closed estate information as needed from Content Navigator and Microfilm.

• Update the follow-up database, as needed, to bring case issues to the attention of Senior Estate Specialist.
• Serve as back-up for the Estates Specialist and Document Specialist as needed.
• Assist Supervisor of Estate Processing with opening and distribution of Legal Department mail on an as-needed basis.
• Assist Supervisor of Estate Processing with maintaining Royalty Database.
• Assist the Legal Secretary and Assistant Legal Secretary as requested to maintain the smooth flow of information both within and outside of the Legal Department.

Qualifications

• Bachelor's degree

• 7-10 years of related experience

• High degree of computer knowledge and experience

• General secretarial skills
