Overview

Location: 640 Main St., Worcester

Pay Range: $21-$22 per hour

                     40 hours per week (Monday – Friday 8:00am – 4:00pm)

 

Support the Corps Officers in all areas; including but not limited to maintaining and coordinating calendars, receive and process phone calls and other communications (i.e. emails), coordinate and manage projects as assigned, and file and organize records.

 

QUALIFICATIONS

 

Education Requirements

High School Diploma or equivalent required, Associates or Bachelor’s Degree preferred

 

Work Experience

  • 2 to 4 years of experience working in an office as an administrative assistant, and have office management skills, preferred
  • Experience working with the homeless preferred

 

Duties & Responsibilities

a) Ensure all permits, (building, vehicle, etc) and vendor lists are correct and up-to-date.

b) Handle incoming and outgoing mail, check answering machine and respond to messages in a timely manner. Answer phones as well as greet and direct clients and guests in a professional manner.

c) Maintain daily office tasks and keep office and departmental files highly organized and in accordance with office procedures. Provide support for agendas, taking minutes when needed, and engaging electronic correspondence in accordance with Salvation Army communication practices.

d) Ensure all Salvation Army owned vehicles are properly and regularly maintained, including inspections, registration, mileage logs are available, and that staff regularly clean and vacuum vehicles weekly.

e) All statistics are collected from Department Heads and compiled accurately and timely

f) Work in collaboration with the Social Services Ministries Manager to input online food and supply orders to the Food Bank and other sources. Assist with pick up and deliver and efficiently utilize food donations.

g) Inventory and maintain stock in the office supply closet

h) Assist Corps Officers and Directors with Seasonal Programs

i) Assist with the training and supervision of volunteers.

j) Perform clerical duties to include but not limited to: photocopying, faxing, mailing, filing, typing and taking minutes as requested.

k) Setup and coordinate meetings and conferences when needed.

l) Process payroll, vendor receipts and other related forms or reports to be sent to Divisional Headquarters.

m) Respond to all donations with thank you letters and/or cards. (monetary or gifts-in-kind)

n) Prepare Sunday church bulletins, send out correspondence to the congregation and assisting Corps Officers maintaining calendars and schedules of events when requested.

o) Perform other related duties as requested.

Other qualifications

  • Have ability to work in an office with professional staff consisting of individuals with varying experience, competency and cultural backgrounds.
  • Must be organized and able to coordinate complex schedules, events, and communications.
  • Must have high integrity, a high level of maturity, and able to see tasks through to completion.
  • Must have excellent computer skills and competency with Microsoft Office Applications and/or appropriate desktop applications.
  • Valid MA Driver’s license and use of official vehicle may be required.
  • Must be adept at problem-solving.
  • Must be able to handle confidential and sensitive information.
  • Must have the ability to work and relate well with people.
  • Must be able to read, write and communicate in English.
  • Bilingual proficiency beneficial but not required.
