Overview

Seeking a Part Time Administrative Assistant to join our Divisional Headquarters Finance Team

SCOPE AND PURPOSE OF POSITION:

Perform general administrative duties for the Finance Department as needed.

 

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Audit preparation including notification, package set-up, follow-up and submission
  • Prepare Certificates of Insurance as needed.
  • Prepare Powers of Attorney, including initial preparation, filing and changes.
  • Finance Council, including input and processing of agenda and responses through the TSAMM database.
  • Correspondence as directed by supervisors.
  • Process/distribute incoming DHQ mail, process as directed representing the Financial Director.  Assist in the preparation of outgoing mail as needed.
  • Mileage Logs and Annual Mileage Reports, process as directed.
  • Answer telephones, maintain complete coverage for the Finance Department.
  • Assist in providing phone coverage for DHQ as needed.
  • Department Records, maintain files and bring-up system.
  • Process items for the Legal Documents Database.
  • Assist Finance department with corporate credit card reconciling as time permits.
  • Process items for Contracts Document Database as needed.
  • Participate in the Divisional Fiscal Recovery Team, including taking and distributing meeting minutes.
  • Participate in Finance department meetings as needed to take and distribute notes and meeting minutes. 
  • Perform other duties as assigned.

Qualifications

SPECIAL SKILLS, CERTIFICATES, LICENSES, REGISTRATIONS:

 

·         Associates or technical school degree required with a major/concentration in business preferred.

·         Must be exceedingly well organized and efficient with the ability to multi-task.

·         Must possess a high-level of professionalism and cultural competence with ability to communicate with all levels of staff and external customers/stakeholders.

·         Must have excellent oral and written communication skills, proficient and accurate data entry skills plus grammar and proofreading skills.

·         Work requires a minimum of one year of experience as an administrative assistant.

·         Must be proficient in Microsoft Office.

·         Knowledge of Lotus/IBM notes a plus
