Overview

The Human Resources Assistant provides temporary administrative and compliance support to the Human Resources and Finance Departments during the 2025 Christmas Kettle hiring season and the year-end transition period. This position plays a critical role in ensuring accurate processing of seasonal employee paperwork, background checks, system entries, and compliance documentation.

 

*Seasonal position from September to December at 28 hours per week

Responsibilities

  • Process employment paperwork for 2025 Christmas Kettle bell ringers in compliance with The Salvation Army’s standards and state/federal employment laws.
  • Manage information flow and documentation in the shared drive, ensuring accurate and organized recordkeeping.
  • Enter batch hire requests into TSAMM and track progress through the approval cycle.
  • Communicate with Corps Officers regarding approval procedures, status updates, and compliance requirements.
  • Conduct required background checks through internal Salvation Army systems and state criminal background check processes.
  • Coordinate with background check vendors to monitor timing, follow up on findings, and ensure results are processed promptly.
  • Maintain hiring approval checklists to ensure all requirements are met for compliance with internal standards and legal obligations.
  • Provide support for HR processes related to employee files and data entry during the UKG system transition.
  • Assist with miscellaneous HR tasks, including open enrollment support and updating internal system spreadsheets.
  • Support Finance by processing certificates of insurance and assisting with other year-end administrative tasks.
  • Perform other duties as assigned to support the Human Resources and Finance seasonal efforts.

Qualifications

  • Prior administrative or HR support experience is preferred.
  • Strong attention to detail and organizational skills.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort learning new systems (TSAMM, UKG, background check portals).
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a deadline-driven environment.
