Overview

Location: Bridgeport Corps (Bridgeport, CT)

Hours Per Week: 25

Schedule: Monday-Friday, 8:30 am – 1:30 pm

 

Scope of Position: Greet visitors in a friendly and professional manner; oversee the office's operations; and assist supervisor(s) with office, program, and Corps duties.

Responsibilities

  • Answer phones in an appropriate and timely manner, filtering out telemarketers, taking messages, and managing incoming faxes.
  • Assist with administering the summer and day camps, Thanksgiving, Christmas assistance program, Kettle Campaign, and other social ministry programs.
  • Assist with correspondence and mailings.
  • Assist with fundraising campaigns.
  • Check emails and respond to each promptly.
  • Contact maintenance specialists concerning office equipment and building maintenance.
  • Demonstrate respect and professionalism with clients, staff, community representatives, and volunteers.
  • Direct visitors to the appropriate staff member.
  • Enter data and create requested reports.
  • Greet clients, provide them with the necessary forms to be serviced, inform the Caseworker of any social service needs, and inform other appropriate personnel of any non-social service needs.
  • Keep track of gifts-in-kind daily.
  • Maintain a clean, orderly desk and office area and keep confidential information secure.
  • Maintain all original forms for social services and the Corps.
  • Maintain confidentiality and exhibit loyalty to The Salvation Army and staff in all job-related matters.
  • Open the office and prepare for daily operations.
  • Organize office supplies and inform supervisors when supplies are running low.
  • Organize periodicals and bulletin boards throughout the building.
  • Oversee the maintenance of the postage machine/copy machine and call for repairs as needed.
  • Process all outgoing and incoming mail and distribute it to each person/department.
  • Receive donations (monetary and material), issue receipts, and move donations to appropriate locations.
  • Represent The Salvation Army at conferences and community meetings as requested by the supervisor.

Qualifications

  • A high school diploma or the equivalent is required; a college degree is preferred.
  • Ability to answer a multiline telephone.
  • Ability to follow written and verbal instructions.
  • Ability to work in a fast-paced, ever-changing environment.
  • Ability to work independently and in a team.
  • Bilingual in English and Spanish required; proficient in spoken and written English.
  • Demonstrate discretion, integrity, and confidentiality in dealing with all matters.
  • Detail-oriented with keen attention to accuracy and confidentiality.
  • Excellent interpersonal, oral, and written communication skills.
  • Must complete training requirements upon hire.
  • A minimum of four years of administrative assistant experience is required, preferably in a non-profit setting.
  • Organized and able to multitask.
  • Strong customer service skills.
  • Strong proficiency in computers, databases, and Microsoft Office.
