The Legal Department at our Eastern Territorial Headquarters has an opening for a Legal Assistant II - Senior Estates Specialist. This position performs all necessary Estate Group critical functions as requested by the Legal Secretary, Assistant Legal Secretary or Supervisor of Estates processing and manages all aspects of case management of the legacy files for the Eastern USA Territory.
Based in West Nyack, NY, this position requires approximately 35 hours of work per week and is onsite.
• Daily review and follow up of the Estates follow-up database ensuring next steps.
• Manage and supervise all non-supervisory Estates personnel in critical function of Trust accounting consolidation for annual audited financial statements.
• Provide back-up support to the Supervisor of Estates Processing as required to ensure full functionality of Estates Group.
• Primary responsibility for opening and reviewing all incoming Departmental mail; processing checks received and ensuring proper allocation to Departmental personnel for handling.
• Coordination with Supervisor of Estates Processing to ensure all Estates Group personnel understand internal estate process as they affect their roles to ensure most efficient operations.
• Review legacy files (and electronic cases) to keep up-to-date and to maintain working order. This includes e-mails, correspondence and telephone calls to estate/trust representatives. Request excerpts when necessary.
• Review all estate/trust distributions, allocations and estate accounting/trust statements to be sure that all funds have been properly accounted for.
• Review correspondence for updating files/electronic cases and the follow-up database.
• Contact Divisions/estate representatives related to missing funds.
• Review all actions of the Board of Trustees for each legacy case to be sure the file is complete and that all actions have been performed as approved.
• Request accounting, bank statements or financial information required for auditors/consolidation reports.
• Responsible for accuracy of all information under the 3ʳᵈ Party Trust tab in the Estates Database throughout the fiscal year. This includes the review of 3rd party trust bank statements and accountings and the entering/updating of 3rd party trust information in conjunction with annual fiscal year-end reports (consolidation).
• Supervisory responsibilities are primarily applicable to all aspects of 3rd party Trust, in the attorney estates database, Trust accounting consolidation and as otherwise delegated by the Supervisor of Estates Processing. By overseeing all estate statements from the Estates Documents
Specialist; Imaging Specialists and the statements and emails into consolidation.
• Close legacy files in Estates Database when appropriate and prepare for scanning.
• Review and obtain closed estate information as needed from Content Navigator and
Archives.
• Assist the Legal Secretary, Assistant Legal Secretary and Supervisor of Estates Processing as
requested to maintain the smooth flow of information both within and without the Legal Department
• Any other duty as assigned.
• Bachelor's degree
• 3 - 5 years of related experience
• Familiar with correspondence received from courts, law firms, and financial institutions – understand correspondence received in order to reply appropriately.
• Position requires a professional demeanor when dealing with the public, an ability to work semi-independently, and ability to prioritize, when necessary, due to time constraints.
• Strong computer skills required for Microsoft Office Word and Lotus Notes and Content Navigator. Ability to learn new databases.
• Ability to use multi-functional copiers. Ability to professionally communicate both orally and in writing.
• New York State Notary Public preferred or be willing to gain certification for New York State Notary Public.
