Overview

Position:  Operations Assistant

Department:  Chambersburg – Family Services  

Availability of Position:  ASAP 

Schedule: 40 hours/week

Reporting Relationship:  Operations Manager

Salary and Grade:  $15.00 per hour / 73

Responsibilities

Position Overview:

 

The Operations Assistant will perform general office work including

answering the phones and greeting the public.  This position will also assist the Family Services Ministry and

assist the Operations Manager with the administration of all aspects of operations.  

 

Description of Position:  

  • Represent The Salvation Army in a manner that brings glory to God.
  • Assist in every way requested to carry out the spiritual and total mission of The Chambersburg Corps of The Salvation Army in terms of community needs and our ministry to the people of our community.
  • Assist the Operations Manager with all aspects of our daily operations.
  • Possess a general knowledge of The Salvation Army and Chambersburg Corps and the ministries that are available.
  • Greet the general public in a professional manner, treating every individual with dignity and respect.
  • Perform clerical functions such as making copies, send faxes, filing. Organize documents, data input, assist with monthly stats and collecting grant data.
  • Make appointments as needed for our Family Services department.
  • Assist the Operations Manager with keeping office supplies stocked and the office functioning.
  • Accept monetary donations, provide receipts and securing said donations in the drop safe.
  • Ensure incoming telephone calls to the Chambersburg Corps are managed in a professional and efficient manner.  Direct individuals to appropriate staff.
  • Perform general office duties including, but not limited to, typing general correspondence, making phone calls and other secretarial work.
  • Sort and handle mail and general office mail as directed by the Operations Manager.
  • Complete ministry program needs such as graphics, fliers, schedules, programs, bulletins, pamphlets, etc.
  • Be up to date on current programs taking place in our operations and give appropriate answers to people seeking information.
  • Assess the needs of those we serve with necessary documentation.
  • Work in tandem with the Operations Manager and Family Services Manager in seeking to meet the needs of those we serve whenever possible by providing direct assistance, referrals, continued guidance, etc.
  • Conduct interviews in a timely and efficient manner with compassion. When necessary, schedule follow up appointments.
  • Build relationships within Family Services to encourage those we serve to participate in corps/church programs/services.
  • Assist the Operations Manager with the Annual Christmas Angel Tree Distribution.
  • Work with other office staff in scheduling appointments and any follow-up needed.
  • Assist the Operations Manager with the recruitment, retention, and necessary clearances of volunteers
  • Support Corps operations, as needed.
  • Ensure all social media platforms are kept up to date and maintained.
  • Assist with any other projects or covering responsibilities withing other departments, as assigned by the Corps Officers or Operations Manager.

Qualifications

Requirements:  

  • Strong interpersonal communication skills and appropriate intervention skills within The Salvation Army required
  • Child Protection Clearances PA Act 153 requires that all prospective employees complete the following clearance and background checks prior to employment: PA Child Abuse History Clearance, PA State Police Criminal Record Check and FBI Criminal Record/Fingerprint Check. Meets the Child Protection Clearances required by PA Act 153 to include PA Child Abuse History Clearance, PA State Police Criminal Record Check and FBI Criminal Record Check along with renewals every five years.
  • Must have an understanding of and appreciation for the Mission of The Salvation Army.
