The Legal Department of The Salvation Army Eastern Territorial Headquarters located in West Nyack, New York has an open position as a Supervisor of Estate Processing. Reporting to the Assistant Secretary - Legal, the Supervisor of Estate Processing is responsible for the oversight of all legacy administration and Estate Processing personnel.
Based in West Nyack, NY this position requires approximately 35 hours of work per week and is onsite.
• Oversight of all legacy administration, including review of correspondence, testamentary instruments, documents for execution, petitions, summonses, and financial documents and statements.
• Oversight of legacy distributions, creation of Estate Advices, documentation of use of funds, and processing of Withdrawal Requests (i.e., legal fees, reimbursement of legacy distributions).
• Prepare email briefs with supporting documentation for legacy matters that require Legal Department, Command Finance Council, and Board of Trustees review and approval.
• Review legacy cases (current and archived) concerning legal issues and other special matters with the General Counsel, Assistant Legal Secretary and Associate General Counsel.
• Oversight of administration of royalties - maintenance of royalties database and spreadsheet, review and process oil and gas leases and division orders, process Withdrawal Requests for local taxes.
• With regards to all legacy administration, and royalties- primary liaison with THQ Departments, Command personnel, executors, estate attorneys, banks and trust companies administering legacies, and companies administering non-probate bequests.
• Oversight of handling of Legal Department mail.
• Authorize, in consultation with the General Counsel and Assistant Legal Secretary closing of legacy cases.
• Supervise Estate Processing personnel.
• Design, implement and oversee detailed procedures in accordance with job descriptions of Estate Processing personnel.
• Conduct performance reviews of Estate Processing personnel.
• As needed, compile and update job descriptions of Estate Processing personnel.
• Review applications, interview, and hire Estate Processing personnel and Temporary Office Clerk (if any) in conjunction with the General Counsel and Assistant Legal Secretary.
• As needed, compile and update Estate Administration Procedures.
• As needed, compile and update Command Estate Processing Procedures.
• As needed, present at Legal Seminars and Business Conferences.
• Any other duties as assigned.
This is a supervisory position with six (6) direct report employees.
- Bachelor's degree from four-year college or university.
- 3-5 years of related experience.
• Needs working knowledge of legal procedures, legal documents, and financial and bank documents and statements.
• Bachelor’s Degree in Legal Studies or other relevant discipline.
• Paralegal Degree (preferred)
• New York State Notary Public (preferred)
• This position requires proficiency with Microsoft Office, Lotus Notes, and Adobe Acrobat.
• This position requires adaptability and flexibility to learn and use department databases.
• This position requires adaptability and flexibility to use online applications used by external companies in administering estate and non-probate matters.
