Overview

GENERAL PURPOSE OF JOB

To further the building of the Kingdom of God through The Salvation Army by supervising the payroll team. This requires processing payroll data and maintaining the payroll accounting system within the Finance Department as well as supportive services to the Corps of the Northeast Ohio Division.  This position requires complete confidentiality of employee information.

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES.

 

  1. Prepare and process payroll documentation to assure approved compensation is received by employees by check or direct deposit in the appropriate account(s).

 

  1. Process the payrolls as scheduled (biweekly or weekly)

 

  1. Managing all benefit time for the employees in ADP by checking the request against the approved number of hours per day and the accrued benefit days available.

 

  1. Maintain filing system for all employee payroll records for all units and DHQ employees.  All documents must be filed in a timely manner so that immediate retrieval is possible.

 

  1. Prepare customized reports, as requested.

 

  1. Complete employment/wage verification information for human services/child support agencies, as needed. Comply with all subpoenas regarding past and present employees’ payroll history.

 

  1. Create, prepare, and load all data from ADP containing payroll records on designated drive.

 

  1. Properly address and process all Uncashed Checks

 

  1. Review each pay the Hours Worked Report for any employee who may be working beyond their approved hours and report to Supervisor.

 

  1. Process the timely completion of tax reports to the respective government offices. Direct responsibility for timely distribution of officers’ and employee’s annual wage advice (Form W-2).

 

  1. Process payroll deductions, including but not limited to, for garnishments, child support, student loans, bankruptcy agreements, IRS Levy, and timely payment with appropriate paperwork to respective government offices and other agencies.

 

  1. In cooperation with the Insurance Specialist provide, as requested, data related to processing of enrollment and/or information needed for claims and invoices for employees’ benefits.

 

  1. As notification is given of the audit schedule, input into the appropriate Excel files the                                                                        employee information requested.  Provide the auditors any related payroll concerns that might be addressed during the audit.

 

  1. Seasonal: Ensure all Benefits Increases (Voluntary Life – Pre, Voluntary Life – Post, Aflac, Health Insurance, Long Term Disability) are entered into ADP before December 31, for every employee with benefits in the Division

 

 

  1. Calculate and verify Christmas bonuses for all employees in the division

 

  1. Gather and record the receipt of Christmas Gift Cards as taxable income

 

  1. Year-End Wage & Tax
  2. Verify all employee information on Form W-2’s for final filing, and balance amounts to wage reports.
  3. Year-End payroll processing
  4. File previous quarter adjustments as needed. Provide Excel spreadsheets and tax forms to ADP for filing
  5. Schedule the next year’s payroll dates, and distribute that information to the division

 

  1. Ultipro for payroll and HRIS (Human Resource Information System). The use of these systems will commence in 2025.  Be prepared and ready to create and run any required reports.
  • Work with the THQ HRIS Discovery Team to reveal and explain all payroll processes for NEOSA Division.
  • Provide all requested information to THQ HRIS Discovery Team for the generating of reports

 

  1. Educate and assist all supervisors on the use of the payroll system.

 

  1. Archive employees upon termination and troubleshoot archive process problems.

 

  1. Working knowledge of the Microsoft Office software programs. And UltiPro system.

 

Qualifications

MINIMUM EDUCATION and/or EXPERIENCE

  • College Level Accounting/Business School courses preferred
  • Previous experience in Payroll Preferred

 

 

 SPECIAL SKILLS, CERTIFICATES, LICENSES, REGISTRATIONS

  • Proficient operating of personal computer keyboard, calculator, and typewriter
  • Working knowledge of Excel and Word
  • Easily trainable with pleasant telephone manners
  • Schedule and perform responsibilities with minimal supervision
  • Ability to process detailed accounting data with maximum accuracy
