Overview

REPORTS TO:    Administrative Assistant

SUPERVISES:      N/A

STATUS:              Non-Exempt      

SCHEDULE:         Part-time; 28 hours a week

                             Monday-Thursday, 9am-4:30pm

FUNCTION:        Support the Administrative office as receptionist. Professionally answer phones in a courteous manner and direct calls to the appropriate departments, record messages when necessary. Receive deliveries and donations. Greet visitors and provide general information about the Salvation Army services. Preform routine clerical work as assigned

Responsibilities

Answer all telephone inquiries and/or direct incoming calls to the appropriate person. Maintain call log

Serve visitors, in person or on the phone by greeting and directing them appropriately. Ensure that all visitors sign in utilizing the sign-in sheet

Responsible for maintaining a neat and orderly reception area, mailroom, front classroom, and front waiting area.

Manage incoming mail/packages, outgoing mail/packages and special deliveries. Alert associates in different areas when they have urgent items dropped off.

Secure office door, waiting area doors, classroom door and chapel doors at the end of each day

Maintain reception supplies, including but not limited to postage meter, instruction manuals, and phone logs

7

Make announcements over the PA system as needed

8

Assist staff with the fax machine and postage meter as needed

9

Work around Kettles: checking in workers, providing ID’s, clothing items, ETC.

Assist with filling and shredding documents when necessary

11

Create and promote a non-violent and non-judgemental environment

12

Provide other services as required for the efficient functioning of the Salvation Army

Qualifications

1

High school diploma or GED equivalent required

2

2 years secretarial/customer service experience

3

In-person and over the phone communication skills

4

Flexibility and a strong work ethic

5

Familiarity with Microsoft office applications

6

Must be sensitive to issues surrounding families, children, cultural diversity, and homelessness
