This position is accountable for providing administrative services and routine support for the Business Services Bureau under the immediate supervision of the Director.

Responsibilities

• Responsible for administrative, clerical, and reception duties for the Bureau.
• Maintain department calendar and scheduling.
• Compose general correspondence for the Bureau ensuring correct format and punctuation are appropriate.
• Maintain Bureau files, literature, samples, and reference material.
• Be proficient with the following: Indexing systems: MS Word, Excel, IBM Content Navigator, and Adobe
Pro-Forms. Preferably, have a good working knowledge of Adobe InDesign and Photoshop or will be
trained in these programs.
• File and set up various data forms, microforms, and general files. Access, and compile, requested records
and information. Maintain Bureau file contents log.
• Perform preliminary inspection of scanned records. Ensure consistency of record retention Distribution of
scanned images with the imaging system.
• Perform special research verification and data-gathering projects upon request.
• Ensure the Bureau’s office, print, and copy center areas are maintained and organized to ensure timely
turnaround times. Order supplies as needed.
• Produce weekly billing of services provided by the Bureau for printing and or copy center projects.

 

PRINTING SERVICES
• Schedule printing projects.
• Produce with the Pressmen, the weekly billing of services.
• Assist with graphic design and layout as needed
• Maintain samples of complete projects.

 

MICROFILM SERVICES
• Maintain microfilm library and digital microfilm directory.
• Assist with research requests.
• Maintain contact with the offsite microfilm storage facility.

FLOAT VEHICLES
• Support Assistant Director of Business Services/Fleet Administrator as needed with responsibilities below
but not limited to:
o Transportation of vehicles as needed.
o Distribution of E-ZPass and keys.
o Reservations, assignment of E-ZPass, and vehicle auctions.
o Inspection of vehicles upon return and updating of mileage.
o Tracking vehicle reservations and ensuring vehicles are returned on time.
o Confirm drivers of float vehicles are on the Approved Drivers List.
o Maintenance of Float Vehicle on file.
o Ensure insurance, registration, and inspections are current and on file.
o Scan all reservation and maintenance records of vehicles.

 

NEW YORK STAFF BAND (*)
Assist the Band Treasurer with and not limited to the following:
• Assist with duties, mailings, file maintenance, and events.
• Proficient with E-Tapestry Blackbaud Program:
o Maintain, track, and set financial goals for Association Membership within the E-Tapestry
Blackbaud Database.
o Update addresses and contact information, as necessary.
• Create and produce reports:
o Member Status
o Association Membership
o Donor History
o Alumni/Alumni Widows
o Relationship Status
• Assist Bandsman with weekly vouchers and wire transfers.
• Assist the band treasurer with band engagements:
o Create and maintain a Ticket sales spreadsheet. Processing of ticket sales generated through the
NYSB website.
o Accounts receivables for group ticket sales.
• Creation of NYSB prayer cards and tax-deductible donation receipts.
*The New York Staff Band – this section supports the director's direct appointment to the band.
If the director has no connection to the band, this section is void with no monetary effect.

 

Qualifications

Associate's degree or equivalent from a two-year college or technical school.

1-3 years of related experience.

Valid Driver’s License.
Must have knowledge of administrative office procedures, including using standard office equipment.
Must have proficient experience in various software applications such as Adobe InDesign, Photoshop, Illustrator, Microsoft 365, etc.
Must have high-level interpersonal skills to handle sensitive and confidential situations.
Must have strong written and verbal communication skills.
Must be detail-oriented in composing and proofing materials.
Must have the ability to establish priorities and meet deadline.

 

This position requires approximately 35 hours of work per week and is onsite.
