Overview

GENERAL PURPOSE OF JOB. The Contracts Coordinator is directly responsible for submitting all Northeast Ohio Divisional contracts and grant agreements into the Contracts Database and the Legal Corporate Documents Database for Territorial Headquarter approval. The Coordinator will also support the Divisional Development staff as needed and will serve as the liaison between the Eastern Territory Salvation Army Headquarters and Northeast Ohio staff and officers for matters related to contracts and licensing.

Responsibilities

 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Process all local and state funding contracts, private foundation grant agreements, and any other contracts needing approval from Division and/or Territory leadership.
  2. Manage all aspects of the Contracts and Legal Corporate Documents Databases. This includes processing agreements and contracts for THQ approval, requesting Certification of Insurance, and returning signed documents once received from THQ.
  3. Provide program quality assurance by monitoring application process and compliance requirements.
  4. Process all government contract reports to appropriate government agencies and comply with reporting requirements.
  5. Assist in inputting data into the Constituent Relationship Management (CRM) system to maintain accurate and detail records of funding sources.
  6. Lead in collaboration with Divisional Government and Foundations Relations fundraising team with application process that include but are not limited to Walmart Local Community Giving and Greater Cleveland Food Bank Application, amongst others.
  7. Send acknowledgement letters to foundations and donors.
  8. Generate year-over-year and year-to-date grant status reports.
  9. Support Divisional Learning Zone Director in maintaining updated educational servicing licenses.
  10. Manage consistent flow of communication between THQ and local Corps Officers.
  11. Support the Divisional Government and Foundation Relations fundraising team.
  12. Maintain files and archives for the Divisional Development Department.
  13. Assist in the preparation and processing of United Way materials and agreements.
  14. Maintain order of the contract filing and registering system.
  15. Assist with Division special projects and mailings.
  16. Prepare a variety of memos, forms, letters, and reports.
  17. Support and participate in Divisional Development events.
  18. Assist with Divisional seasonal programs as requested
  19. Assume other responsibilities as directed by the Director of Development and/or the Divisional Secretary. 

Qualifications

MINIMUM EDUCATION and/or EXPERIENCE.

  1. Associates Degree preferred or equivalent education and experience.
  2. Minimum 3 years fundraising and/or direct non-profit administrative experience.

 

 

SPECIAL SKILLS, CERTIFICATES, LICENSES, REGISTRATIONS.

  1. Strong written communication and business skills.
  2. Excellent interpersonal skills, able to relate professionally and effectively with key constituencies (both internally and externally), with an ability to deal well with sensitive situations and confidential information.
  3. Proficiency in Microsoft Office and familiarity with database applications.
  4. Knowledge of donor databases is a plus.
  5. Must be able to work both autonomously and as part of a department.
  6. Collaborative and energetic team player.
  7. Must have an understanding of and appreciation for the mission of The Salvation Army.
  8. Licensed Notary of the Public
