SCOPE AND PURPOSE OF POSITION:

The Volunteer & Red Kettle Coordinator is responsible for developing, implementing and maintaining an exemplary program to provide stewardship, recognition, involvement and engagement of corporate, religious, academic groups, as well as individual donors of time and financial support.  The goal of the position is to have The Salvation Army be the donor experience of choice when volunteering in the community.  This position’s success should ultimately result in donors of time and/or funds, with a deeper engagement and commitment to the Salvation Army’s mission. They will additionally work to coordinate the Greater Buffalo Red Kettle effort by securing volunteers (individuals, groups, school & college groups, families and businesses) to man collection sites at Greater Buffalo area stores/malls. The position is a key contributor to the success of the Red Kettle effort, which raises money for the many programs of The Salvation Army of Greater Buffalo.  Additionally, the Events and Volunteer Coordinator will brainstorm, coordinate and implement special fundraising events, including but not limited to:  The Red Kettle Open golf tournament, The Red Kettle Luncheon and Buffalo’s Most Amazing Race – all key fund raisers and community volunteer engagement opportunities.  A comprehensive marketing plan will be developed for each event, in conjunction with the Strategic Development Plan and Long-Range BAS Strategic Plan, including PR and community relations.

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Make contact with volunteers in writing, by phone and in person so as to maintain a full complement of bell ringers
  • Develop new relationships with companies, schools and organizations that are willing to provide volunteer workers
  • Assist Corps Officers in securing any and all other workers as needed
  • Contact all stores and kettle sites to secure those locations, once national contracts are approved.
  •  Serve as the liaison between the kettle site personnel and Corps officers
  • Develop and maintain a database of all participating workers and groups, using the existing SalesForce database
  • Maintain the scheduling database, Red Kettle Worker, for volunteers
  • Work with drivers and supervisors on the daily schedule
  • Explore various ways to increase kettle income
  • Secure, schedule and follow-up, in writing, with volunteer(s)/groups confirming and outlining their participation, including dates, times, locations, dress code, policies, restrictions, expectations, etc.
  • Report the progress of the kettle campaign, including information on number of volunteers, hours served, amounts collected from the kettles and any information on special activities in conjunction with the Kettle campaign
  • Prepare a comprehensive, detailed summary report at the conclusion of the campaign
  • Prepare and send thank-you letters to all volunteers and groups participating in all volunteer experiences
  • Provide, as needed and directed, assistance to other Christmas programs
  • Perform all duties related to Volunteer Coordinator
  • Develop and maintain a listing of Volunteer: names, addresses, phone numbers and email addresses
  • Keep volunteers informed of activities via the US mail, telephone and email
  • Supervise all seasonal volunteers for the Toy Shop, Christmas & Thanksgiving Dinners and Sponsored families *NOTE:  Must be in attendance for Holiday dinners
  • Keep and categorize volunteer specialties
  • Update and maintain the volunteer tab on the website
  • Respond to inquiries from the website
  • Process volunteer opportunities applications including the processing of back ground checks for sensitive areas
  • Record and keep track of all volunteer activities and hours
  • Coordinate all aspects of the Special Events promoting the agency
  • Plan and execute special events in conjunction with the Director of Development, Event Committee and/or Advisory Board. This includes strategizing for growth, expanding sponsorships and attendance
  • Arrange public appearances, promoting the events, to increase awareness of The Salvation Army, its mission and services
  • Coordinate all 3rd party event activities
  • Provide coordination of volunteers for the weekly Street Feeding Program
  • Perform other assignments and/or kettle related projects as requested or required by the Development Director
  • Show enthusiasm, loyalty and belief in the work of The Salvation Army
  • Participate in all other duties and activities as requested or assigned

Qualifications

SPECIAL SKILLS, CERTIFICATES, LICENSES, REGISTRATIONS:

·         Experience as a volunteer helpful. 

·         Excellent oral and written communication skills, listening skills and interviewing skills. 

·         Ability to plan and organize activities within the agency’s framework, work in collaboration with administration and to delegate work as necessary.

·         Leadership skills with the ability to understand what motivates a volunteer. 

·         Capacity for risk-taking, creative thinking and innovative ideas. 

·         Proficiency in Word, Excel, PowerPoint and experience with volunteer tracking and/or database software desired. 

·         Valid driver’s license required that meets The Salvation Army’s insurance requirements.

·         Accessible vehicle.
