Overview

The Operations Coordinator manages the House management staff reporting to their respective shelter facility.  They also manage the flow of people in and out of the facility and ensure the safety of all clients and staff as well as compliance with all facility rules and regulations.  A Operations Coordinator assumes the operational management of the facility in the absence of another manager on site. Responds to all emergencies.

Responsibilities

  • Reports directly to the Program Director for their particular site regarding all direct care and/or operational issues and concerns.
  • Responsible for all of the other Shift Supervisors at their site. This includes making sure all shifts are covered in the event of an absence, all paperwork and incident reports are filled out and sent properly, and all House Management staff are trained and ready to assume their everyday duties.  Besides their Operations Coordinator duties, they must also perform the duties of a Shift Supervisor.
  • Assumes responsibility for the entire facility in the absence of an Administrator.
  • Responsible for ensuring the facility is managed in a safe and orderly manner.
  • Manages the flow of people in and out of the facility including ensuring all clients log in and out of the facility and all visitors register upon entering the facility.
  • Responsible for responding to and reporting all unusual occurrences and/or incidents within the time sensitive guidelines established by DHS and TSA.
  • Responsible for ensuring all clients comply with the DHS Code of Conduct and Client Responsibility.
  • Responsible for engaging clients and staff and intervening whenever noncompliance ensues, and/or inappropriate behavior is witnessed.
  • In the absence of facility maintenance staff, the Operations Coordinator is responsible for responding to and addressing any/all facility concerns.
  • Corresponds with the DHS to ensure that all vacant units are called into HERO as vacant and ready and then accept referrals for new intakes from DHS.
  • Accepts all new referrals and provides the clients with their initial intake into shelter.  Included in this is accompanying the client to their assigned unit and ensuring the unit is fit for a new admission.
  • Ensures all new intakes are provided with linen, toiletries, kitchen utensils, and any/all other supplies issued to new clients.
  • Provides orientation to all new admissions.
  • Conducts periodic facility evacuations, periodic fire drills and routine site tours (walk through) and maintains the required records of all such drills and tours.
  • Supervises surveillance of the grounds, facility, and any activities of residents to prevent theft, unauthorized entrances, fire, and accidents. 
  • Must maintain a visible presence throughout the facility during the entirety of his or her shift.
  • Responsible for ensuring the agency vehicle is properly signed out and all logging information is dually completed.
  • Records and reports maintenance needs of the building (i.e., work order request).
  • Attends all required staff meetings and scheduled training even when scheduled on a shift that is not regularly scheduled for them.
  • Mediates client disputes and maintains logs of unusual events or activities.
  • Interfaces with relevant public service/community entities, i.e.: police, fire department and hospitals in efforts to obtain emergency services when needed and assumes responsibility for obtaining emergency services when occasions arrive.
  • Coordinates use of laundry machines with housekeeping personnel.
  • Work hours are to be arranged with administration to accommodate the needs of the facility.  Employment hours may be altered (with as little as two-weeks notice) depending on the administrator’s and/or facility’s needs.  It is understood that coverage must be provided at all times by a Shift Supervisor, and that the post can never be left unsupervised.
  • To continue to run each of our shelters with excellence and to meet the needs of the program, employees may be asked to assume their same position at one of our other shelters operated by the Salvation Army at the discretion of the Director of Shelters or Salvation Army Department Heads.
  • Other assignments and tasks may be added at the discretion of the Director of Shelters or other Salvation Army Department Heads.

Qualifications

  • High school diploma or GED and previous experience working with clients in a residential setting are desired.
  • Must obtain a Fire Guard Certificate and a Fire Safety Coordinator’s License and must obtain certifications in CPR and First Aid within the first three months after hire date.
  • Must have excellent leadership qualities with a firm knowledge of DHS policies and the Cares system.
  • Must have excellent communication skills (both written and verbal).
  • Will need to demonstrate computer skills and the ability to maintain composure during crisis, emergency situations and/or during behavioral outbursts.
  • Must maintain proper boundaries and professional relationships with clients at all times.
